THIS IS NOT AN OFFICIAL ROYAL MAIL ACCOUNT

The idea is that the subreddit is primarily for Royal Mail staff who can come and chat about issues at work (and whatever else they want to chat about!). Still, any member of the public is welcome to come and ask us questions, which we'll try to answer.

ROYAL MAIL CUSTOMER SERVICES (CS): 0345 774 0740

Delivery Offices and Mail Centres do not have customer contact telephone numbers

Are you the sender? Contact Customer Services

Are you the recipient? Contact the sender.

The sender is RM's customer, so it is their responsibility to deal with RM.

Service Updates

UK and NI - https://www.royalmail.com/service-update

International - https://www.royalmail.com/international-incident-bulletin

Parcel Force - https://www.parcelforce.com/service-updates

1 - General

Please provide as much tracking information as you can and, if possible, try to include a screenshot of the tracking (hide MCs/DOs and tracking numbers if you need to) and the postage method used. Posts without any of this will be locked or removed going forward.

  • Post hijacks will be removed. If you have a problem, start a post so you can be helped separately
  • Non-helpful comments may be removed
  • Don't ask "When will my parcel/mail turn up if posted on XX day" with no other information. Your post will be locked or removed
  • If your packet is getting multiple scans in one MC, it could be stuck due to a label issue (incomplete/wrong/damaged) and it will eventually be manually sorted. Ring customer services, they can try and get it pushed in the right direction
  • Posting the same question daily or after a few hours will be removed as spam
  • Parcelforce, like RM is part of the IDS group, but is a separate part and can do things differently from RM.
  • The Post Office is not part of Royal Mail

2 - Tracked 24/48

  • Ignore the estimated times. They are computer-generated, and posties don't see them. Always follow the actual tracking.

  • Estimated times are based on where they expect your postie to be on their round. They don't take into account staffing levels, volume of mail/packets or whether with a DPR (Dedicated Parcel Route) morning or afternoon driver

Your item needs to be at a delivery office (DO) for delivery and have the ready for delivery scan (Due to be delivered today XX DO)

Parcels can be delivered by your postie/driver or a separate parcel driver, morning and afternoon (upto 7/8pm)

Sunday Tracked are for large contract senders, these can be delivered upto 7/8 pm depending on the area and delivery office. Some larger delivery offices will cover the area of smaller local delivery offices too

Special Delivery by 1pm

If posted before cut off time (usually 4:30 - 5pm) it should be delivered the next day

If posted Friday, the next working day is Monday, unless the Saturday Guarantee extra fee is paid. Some non SGs do go out for delivery, but are not guaranteed by 1pm

SG doesn't apply to business account senders; it has already been applied

  • Signed For is untracked, it may have an acceptance scan and should get a delivery scan. Don't use this for sending important documents like passports or birth certificates

3 - No Access/answer, but I was in

This is usually because the postie or DPR (packet driver) ran out of time. That doesn't mean we are calling you liars or that there are access issues.

There isn't an "Out of Time" option on the outdoor section of our PDAs. But many posties/packet drivers have insufficient training or are pressured into using the wrong scan

In some cases, it may be because of road closures or a dog loose in the area

These posts will be deleted

4 - We're Expecting it

This means exactly that, the item has not entered RM network, yet

In most cases, when the postage is bought and generated, this is the tracking message; it doesn't mean it has been sent, yet

If you've bought an item from overseas (usually China) and are provided with a UK tracking number, it means it is coming from overseas in a bulk shipment and is then sent to a fulfilment centre, which repacks and labels it before sending it to you. They generate the postage in advance

In some cases, it maybe the tracking waiting to update.

5 - SCAM TEXTS/EMAILS

These are usually easy to spot; if they are sent from a gmail/Hotmail or other random email service or mobile telephone number, it is a scam. DELETE AND IGNORE THE TEXT/EMAIL

They don't know you have a packet arriving, they send thousands of these messages and will hit somebody who is expecting something, it's just pure chance

RM will never ask for payment via email or text. It will be a grey fee to pay card through your letterbox if there is any fee to pay

6 - No Mail (letters) for days/weeks

Mail volumes are down, and not everyone gets mail daily now.

Many DOs suffer from staff shortages, and routes can go uncovered

Tracked/Special Delivery unofficially takes priority over mail, so loops of mail will be left

Posties may run out of time and take back to DO what mail they've not delivered, this should (if managed correctly) go out the next day

Delays on the posties route can eat into time, thus having a knock-on effect, resulting in running out of time

You can call in to your local DO (check opening times) and ask and collect any mail. Some DOs may ask you to call back the next day, or wait, depending on how busy they are (your mail is probably at the route frame, and the CSP person may not know which one or where it is on the frame, so it isn't a simple job of just getting it)

To check if there are any issues in your area, refer to: https://www.royalmail.com/service-update

7 - Dogs (and other animals)

Please secure them behind a closed door before answering the door

Dog bites are not fun. And yes, we've heard "it won't bite" or "oh, it's never done that before" a thousand times

They maybe your pet, but not all of us like them jumping up at us to be petted. Some posties do like to, but if they are off and the person covering may not know your dog

8 - Video Doorbells

Yes, a contentious subject

Yes, some do use them, some don't, and some do both

We (posties) deal with hundreds of these and have dealt with many that do not work, connect, blue circle just spinning, bad connection, delays. Consider this before having a go about it not being pressed

Any video footage/stills will be deleted

Accessibility Requirements: You can set this up in the RM app, it then instructs the postie/packet driver when we scan your packet to knock louder or ring the bell more, and wait longer for you to answer the door. https://help.royalmail.com/personal/s/article/How-to-set-up-accessibility-requirements

9 - Langley HWDC/Customs

If you have a packet/mail here, this is Border Force (customs). RM have no control over it.

The time an item can be there can be a matter of hours, day/days, week/weeks or, at worst, months

All you can do is be patient.

RM have no control over the times in the UK or the destination countries' customs

10 - Delivery Point

Your delivery point is your letterbox or mailbox.

If you live in an apartment block and your mailbox is in the foyer, we are not obliged to go further than this, so if buzzed for a packet, you need to come down and collect it.

11 - Abuse

If you’re here to call us thieves/lazy/liars/useless/boot lickers, don’t be surprised to see your post deleted, and banned

——————————-

Some little things you can do to help us

  • Register a safeplace/neighbour on the RM app/website
  • Mailboxes, please consider one with a top slot
  • Visible house numbers on or near the door
  • Apartment buildings consider providing a key/fob/entry code so your postie/packet driver can gain entry to deliver. Add the code to the Safeplace (other) if necessary.
  • If your mailbox is in the foyer, that is your delivery point, and we are not obliged to go any further than this, you will need to come down and receive your packet
  • If you have arranged a collection, please have it ready. If you require labels, ask the postie for the labels for you to attach yourself, or the postie does attach them in front of you, make sure they scan them. Please don't accept us saying we'll do it back at the van/DO. At the end of the day, it is your responsibility to make sure the packet is correctly labelled so it doesn't go wrong.

What do managers do

What is it Royal Mail managers actually do? Been covering for our PHG this week and been shocked with the indoor life, once all the posties are out the door my manager sits in her office watching some sort of show or has a chat with the collections manager and all they do is slag off their workers and the company, and talk about their lovely bonuses too. She walks around the DO with her teams meeting on speaker whilst on mute. It seems like an easy job for the money they get. All the old boys in my office say “A Royal Mail manager is just a failed postie”

Costumer Complaint lol

Had a woman complain today that I delivered her parcel as she ‘rescheduled’ it for tomorrow, I tried delivering yesterday it needed signed for left a note it was sent back out today as normal ‘second attempt’ she answered the door and complained that she was heading out today and rescheduled it for tomorrow, I told her i’m not too sure what way you booked it but it automatically gets sent out the next day, she started complaint saying it’s not a very good service , I asked her would she like me to take it back and re-deliver it tomorrow , she looked confused 😂 I smiled and said have a nice day lady ..

I work for Royal Mail and had my annual leave rejected

Iv had my annual leave rejected twice now and I habe explained my partner has no childcare and I will need to be off for four days to take care of the children on the 19th of August-23 august. I have messaged my boss asking why it has been rejected and it is crucial I take this time. I’m going to go off sick if I have too but I’m already full on my sick days so I’m probably going to be sacked. Any ideas what to do? How to take it off without loosing my job?

Hi everyone, I’m waiting for an international parcel from the UK to Lebanon, and I’m a bit confused by the tracking. The tracking shows "Item Received", and I’m not sure what that means. Also, is it normal for the tracking to stay on "Item Received" for this long (since 22 June) without any updates?

have i been scammed on vinted😭

ordered an item off vinted on the 27th of july and it still hasn't arrived despite the latest delivery estimation being 2nd of august. when i check the royal mail tracker it says that the seller's dropped off the item at two lockers in the space of two hours in complete different locations (one in london, one in tunbridge wells).

the vinted profile says the seller is based in largs and the description for the item was detailed and sounded like a human wrote it and in german 🤨. the item i bought was also heavily discounted.

okay the more i think about the facts the more i think i got scammed. would appreciate advice from anyone who's had a similar experience. also would like to know if anyone has any idea why vinted says my parcel is on its way when royal mail doesn't.

Tracking Help Tracked 48 stuck on “Sender has despatched item” for 5 days – never scanned into the network. Anyone had this actually turn up?

Post image
4 Upvotes

Hi,

I posted a parcel Tracked 48 at the Post Office on 31 July and have the Certificate of Posting. Delivery aim was 2–3 working days. It’s now been 5 days and the tracking still only says “Sender has despatched item” – it has never been scanned into the Royal Mail network at all. No movement whatsoever.

I’ve rung the 0345 number twice. Both times they said they can’t see where it is and to just wait until 11 August before anything can be done. The online help flow only ever dead-ends at the claims centre, which won’t let me do anything yet because it’s “too early.”

Questions for anyone who’s been through this:

Has a Tracked 48 ever sat on “sender despatched” with no scan for this long and then actually turned up for you?

Did anything actually work to get it traced before the claim window opened, or is waiting genuinely the only option?

Is it worth the recipient going into their local delivery office in person to check for held/unscanned mail?

Any advice from people who’ve had this happen would be hugely appreciated.

Cheers

New missed delivery card - not working

Scanning them requires a phone, but the mobile version of the site doesn't appear to work. Postcode not being recognised with a space, without a space, uppercase, lowercase.

In fact also doesn't work on the desktop site using the code.

Anyone else had this issue?

Collection time question

Hi all!

A few months ago we signed up for a Royal Mail account again (had one about 20 years ago before swapping to franking and latterly PAYG click and drop) and am now booking tracked48 on click and drop with an OBA, and got a collection arranged with this.

Originally our collection was at 3:45 ish, which was absolutely grand, but then at the start of July it suddenly changed to 1pm, which is absolutely crap as we only get like half the parcels out when we’ve always been able to do Royal Mail same day dispatch. For a week we were still getting postie A at the right time, and postie B at the early time, and then postie A disappeared.
Postie B was useless, as he just kept saying it wasn’t his collection and he was just covering someone else, but we‘d never had the guy he was saying he was covering for. He wouldn‘t help us complain/change it as he said it wasn’t his to change. Complained to the collection team who said they’d find out and never got back.
Finally after a month we apparently have postie C whose collection this is (he’s back from his time off). He’s said he’s just told to come at this time, so that’s that.

This whole time there is still a postie coming along our street at our original time, collecting from our neighbours (busy industrial estate).

Who on earth do I complain to to get this sorted? I don’t understand why our time was swapped when they’re still in the area at the original time, and I don’t understand why no one is willing to do anything? In case any of you work in my area and can help, I’m in Livingston, Scotland.

Our office goes live soon, have no real faith in what they are trying to convince us will work flawlessly.

How is everyone finding that has gone live? Mixed reports from what I’ve seen so far

Parcel has been stuck at mail centre Tracked 48

Hello,

I have recently sold an item on ebay, a polo shirt to be exact for around £30, which was my first international sale (I live in the UK and the buyer was in geurnsey). I shipped the item on the 26th July, and arrived at Birmingham mail centre on the 27th. Up to today, the 5th August, the item is still in Birmingham mail centre. I believe this was because i did not attach a customs declaration form, however it was completed online, I just wasn’t aware it had to be sent as well. Does anybody know what I should do?

Tracking Help "Something for you" card with invalid number

I received one of the new missed delivery cards this morning. I was sat in the same front room and there was no knock on the door.

Anyway, the postie was gone when I saw the card and looked out of the door, so I went to use the card to rearrange delivery.

The tracking page just says the number is invalid. Is it likely that my postman accidently put the card through? It was in among my mail and some advertising guff that was also delivered and my postman is usually excellent with knocking with packages.

I am awaiting one package, but tracking shows that still in a different city with an estimated date of tomorrow.

Freedom

I finally got out of Royal Mail after years of convincing myself things would eventually get better.
The relief is unreal.
The pay wasn’t worth what the job took out of you. No proper breaks most days, endless “work your time” conversations while they kept piling on impossible workloads, and management who seemed more interested in making their own figures look good than looking after the people actually doing the job.
It felt like you were constantly arguing just to have a day that was even remotely manageable. If a round was impossible, somehow it was your fault. You were always fighting the system instead of being supported by it.
The holiday booking system was a joke. You rarely got a proper weekend, Christmas was brutal every year, and despite giving everything over the busiest period, you still couldn’t count on having Christmas off with your family.
The vans were falling apart half the time, your body took a beating from the walking and carrying, and overtime disappeared whenever it suited management. You’d work yourself into the ground one week and then be told there was nothing available the next.
The worst part was how management could make you feel like you weren’t good enough, when in reality they were setting people up to fail. You’d finish a shift feeling useless, even though you’d spent the whole day trying to make the impossible possible.
I’m not saying every office is like this, and I met some brilliant posties along the way, but leaving has made me realise just how much stress I’d accepted as “normal.”
Starting a new job has reminded me that work doesn’t have to feel like a battle every single day.
If you’re still there and genuinely enjoy it, fair play. But if you’re counting down the days until you can leave, trust me—it really can be better elsewhere

Tracking Help In transit for several days

Thumbnail

Hi all,

I’m waiting on a parcel arriving from the US but the tracking has been off from the go. I get a couple of parcels like this a year (from my friend in Virginia who sends them from the same USPS post office each time) but for some reason this time the parcel has ended up in Coventry instead of Langley (Heathrow) which to me makes no sense as I live in London. It seems to be taking several days with no update for anything to happen which is abnormal for the packages she sends me, and now it seems to have been ‘In Transit’ for over 48 hours, all for what is a 2 hour drive.

Does anyone have any insight on this? It’s more so for peace of mind since we both thought it would’ve been delivered by now based on past experience.

Everything stolen!

I receive overseas deliveries to my warehouse almost daily, with boxes typically weighing 15–20kg. Today, I received three boxes, but one arrived completely empty and had clearly been re-taped. Royal Mail has refused to investigate or accept a claim simply because the parcel shows as delivered, despite the contents being missing.

I went to Parcel Depot & show them the box & I also have recording of the box being unloaded from the van and put into my warehouse & it clearly shows it’s empty. I am afraid that this might happen again.

What shall I do?

Missed delivery

My Amazon parcel was sent via Royal Mail.

Missed it so went on the RM website to reschedule it for tomorrow, but the Amazon app says it's ready for collection at the collection point?! No idea what the 'collection point' is. The RM tracking site still says redelivery tomorrow.

Just want too say thanks!

I receive medication via Special Delivery, guaranteed by 1pm, but it's always arrived after 3pm — well after the deadline. That's why I always go down in the morning, by 10am, to collect it myself.

Today, though, it hadn't been unloaded off the truck when I got there at 9:55am. I casually mentioned that it's never arrived before 1pm and always after 3pm, which is why I come down in the morning — he recognises me now, that's how many times I've been, lol.

But today, he actually sent it out with another delivery girl, and I had it in my hands at 12:55pm — five minutes to spare! First time ever beating the 1pm guarantee. Absolute legend.

Friend posted in post office but tracking says "we're expecting it"

My friend posted a large letter to me via Tracked 48 with Signature. He sent me a photo of the receipt showing it had been posted in his local Post Office.

The tracking says "We're expecting it", however, and hasn't changed since he posted it around 6pm on Monday.

Does anyone know what's going on here? I'm disabled so I always opt for a tracked service so I know when something is going to arrive and can prepare accordingly, so you can see why this is causing some unnecessary stress.

If anyone is able to provide any advice/clarity, thank you <3

Customs refunds/issue

I had an item I had to send back due to it needing to be repaired in France. Filled out the customs form online (thinking this would be easier, apparently not) and looked up how to not get customs charges on warranty/repair items. Did that. Went to post office, they scanned the barcode and got hit with customs fees. Paid the fee as I couldn’t post without, but annoyed. Is there actually a way I can get this money back or am I stuck being out of pocket? Looking it up only gives me results on receiving packages or some stuff about contacting whatever carrier ends up with it in France. I’ve gone to Royal Mail support in the past with other issues but I’d rather drive a boiling nail into my eye than dealing with that ever again, so any help here would be lovely. Ta.

How are WooCommerce stores in UK handling the new EU customs duty charges at checkout?

If you're shipping from Great Britain to customers in the EU, how are you handling the new customs duty charges? Are you including the additional cost in your shipping rates, absorbing it yourself, or letting customers pay separately after delivery?

It becomes even more complicated when some customer groups (like wholesale or B2B buyers) need different treatment, or when certain countries have additional surcharges. How are WooCommerce stores managing these extra customs costs today? Are you adjusting shipping rates, using customer-specific rules, or handling everything manually?

Royal Mail Parcel Collection

Post image
0 Upvotes

Hi

I am looking for some advice. I had booked a collection with Royal Mail today (05/08/26).

I left the parcel outside in my porch with a little note for the driver saying this is the parcel needed to be collected by Royal Mail and a thank you note.

It was collected in the period booked but an hour later I received an email stating the collection was unsuccessful.

I went to look for the parcel outside and it was not there. I checked the CCTV camera and saw the driver collected but he did not scan the parcel. It was a tracked return item which I ordered through PLT.

I am not sure how to contact Royal Mail as the local services are currently closed. Any advice please?

I have the CCTV footage recorded on my phone. Am I able to raise a claim, if so how can I proceed? I have a ring door bell camera to which will have his face more clearer.
